Role Overview
The Executive - Operations will support day-to-day office and administrative activities across teams, helping keep internal processes organized and efficient. This role combines coordination, documentation, communication, travel support, and office administration.
Administrative Support
- Assist different departments with administrative tasks such as data entry, document preparation, and filing.
- Help organize meetings, conferences, and appointments as needed.
- Support office supply tracking and inventory control.
- Work with the Talent Team on employee seating arrangements.
- Coordinate with messengers/runners to deliver client, vendor, and government-related invoices and documents.
- Follow up on talent-related tasks to make sure they are completed on time.
- Coordinate with the finance team on invoices and expense purchase orders.
- Support office-related tasks with office boys when required.
- Issue expense POs and register invoices.
- Prepare manual invoices.
- Create new expense vendors and clients in the new system.
- Track and report office attendance and rotation plans.
Travel Arrangements
- Organize employee travel, including flights, hotels, local transport, and visa processing when necessary.
- Prepare travel itineraries and ensure all required travel documents are complete.
- Monitor travel spending, reconcile expenses, and follow company policy.
Communication
- Handle communication with clients, employees, and visitors, responding to questions and sharing information.
- Receive, sort, and distribute incoming and outgoing mail and parcels.
Calendar Management
- Support management calendars by arranging appointments and meetings efficiently.
Qualifications
- Prior experience in a similar role is preferred.
