Role Overview

The Management Executive Assistant will provide broad administrative and operational support to a Chief Officer, helping ensure smooth day-to-day execution and clear communication. The position is responsible for managing the executive’s calendar, travel, meetings, correspondence, and confidential matters, while also supporting projects and serving as a key contact point for the Chief Officer.

Key Responsibilities

  • Organize and maintain the Chief Officer’s schedule, including appointments, meetings, and events.
  • Balance overlapping commitments and resolve scheduling conflicts efficiently.
  • Handle all aspects of business travel planning, such as transport, accommodation, and detailed itineraries.
  • Make sure travel plans remain practical and economical.
  • Act as the main contact for the Chief Officer, managing calls, emails, and general correspondence.
  • Prepare professional written communication including emails, memos, and letters on the Chief Officer’s behalf.
  • Plan and support meetings, conferences, and events.
  • Create agendas, prepare supporting materials, and record minutes when needed.
  • Keep executive files and records well organized and current.
  • Gather research and background information to assist with executive decision-making.
  • Monitor and process expenses in line with company rules and compliance requirements.
  • Compile expense statements and keep precise financial records.
