Role Overview
The Team Member - Admin supports site administration by handling a broad set of operational and coordination tasks under the guidance of the Site Admin Lead. This position acts as a liaison for service partners, helps maintain records, supports facility-related activities, and contributes to smooth day-to-day admin operations with a focus on employee satisfaction.
Responsibilities
- Assist with day-to-day administrative work, including meeting coordination, schedule management, and correspondence handling.
- Coordinate with vendors and service partners to ensure services are completed on time, and escalate any gaps or issues to the Site Admin Lead or Head.
- Keep accurate and well-organized records of operational activities such as contracts, invoices, and compliance documents.
- Support basic facility upkeep and route larger maintenance issues to the Site Admin Lead or Head for action.
- Help monitor site-level expenses and track administrative costs against the approved budget.
- Provide on-site administrative support to employees by resolving routine queries and handling basic service-related concerns.
- Track service delivery for activities such as cleaning and maintenance, and report delays or service problems promptly.
- Arrange meetings, events, and training sessions, including room setup, catering, and equipment coordination.
- Prepare regular reports on site operations and administrative activities, highlighting opportunities for process improvement.
- Work closely with internal stakeholders such as Group Admin Head, governance teams, business leadership, site admin heads, security teams, HSE leadership, and site CPrO.
- Coordinate with external parties including service partners and local government bodies when required.
Requirements
- A bachelor’s degree in Business Administration, Facilities Management, or a related discipline is required.
- An MBA or master’s qualification in Facilities Management is preferred.
- Professional certifications such as IFMA or BIFM in Facilities Management are preferred.
- At least 5 years of experience in corporate administration or facilities management is required.
- 3 to 5 years of leadership exposure in managing large facilities, cross-functional coordination, and budgets for large organizations is expected.
Additional Information
This role is focused on supporting administrative operations at site level and ensuring services are delivered efficiently, records are maintained properly, and employee experience remains smooth. The position involves regular collaboration with multiple internal teams and external service providers.
Key Stakeholders
Internal stakeholders include the Group Admin Head, Group Admin Governance Team, BU/Site CPO, Business Head/CEO, BU/Site Admin Heads, Security Heads, HSE Head, and Site CPrO. External stakeholders include service partners and local government bodies.
Qualifications
Educational background should include a bachelor’s degree in Business Administration, Facilities Management, or a related field. An MBA or master’s degree in Facilities Management is preferred, along with IFMA or BIFM certifications if available.
Experience
Applicants should bring more than 5 years of experience in corporate administration or facilities management, along with 3 to 5 years of leadership experience handling large facilities, collaborative work across functions, and budget oversight.
