Role overview
Amazon Advertising is hiring an Executive Assistant to provide dedicated support to at least two Directors within the CreativeX organization. The role supports leaders who oversee a combined team of more than 200 people and sits within a broader EA community supporting Amazon’s worldwide Advertising organization of over 16,000 employees.
This position calls for a proactive, highly organized, tech-comfortable professional who can anticipate needs, manage competing priorities, and handle sensitive information with discretion. Success in the role depends on excellent attention to detail, strong communication skills, sound judgment, and the ability to work both independently and collaboratively across global teams.
The job is based in New York and requires five days a week in the office.
Key responsibilities
- Own complex calendar coordination, including scheduling logistics for internal and external meetings.
- Arrange domestic and international travel end to end and handle expense report processing.
- Plan and execute large-scale events both in person and virtually, including catering, agendas, accommodations, AV setup, and presentation materials.
- Support space planning, office moves, and related workplace logistics for the team.
- Work closely with Finance, HR, Recruiting, and other EAs across Amazon Ads.
- Attend important meetings, track deliverables, and follow up on outstanding action items.
- Help run team operating rhythms such as staff meeting agendas, weekly business reviews, team-building events, launch events, and recognition programs.
- Identify practical and creative ways to solve issues across internal and external stakeholders.
What the day-to-day looks like
A typical day may involve handling a large email volume, coordinating complex high-priority meetings with other EAs, and partnering with leadership on initiatives and events. The environment is fast-moving and often ambiguous, so the role requires someone who can move quickly, stay organized, and take action with limited direction.
Required experience and qualifications
- At least 3 years of senior-level leadership support experience, or at least 1 year of experience at Amazon.
- Hands-on experience managing executive calendars.
- Experience arranging domestic or international travel.
- Proficiency with Microsoft Office tools and applications.
- High school diploma or equivalent.
Preferred qualifications
- Bachelor’s degree.
- Experience handling multiple calendars at once.
- Background in a fast-paced, high-tech environment.
