Role Overview

This remote customer service role supports a medical dermatology team and is centered on delivering patient-first service, a smooth patient experience, and strong outcomes. The position handles calls, registration support, intake, appointment scheduling, and payment collection by phone and in person. The role reports to the Lead, Customer Service and/or Manager, Customer Service.

Key Duties

  • Act as the initial contact for billing-related customer service calls.
  • Provide high-quality support for patient questions and concerns.
  • Manage a large volume of incoming calls and other communications from patients and customers.
  • Respond to voicemail and phone messages within 24 hours.
  • Handle complaints professionally and stay effective in stressful situations.
  • Use available tools and research methods to identify and resolve patient concerns.
  • Review patient account details during interactions to confirm insurance and demographic information is correct.
  • Update insurance and personal information on patient records when needed.
  • Record all actions taken on patient accounts accurately.
  • Arrange payment plans and process credit card payments over the phone.
  • Use the billing system correctly and maintain clear documentation with proper grammar, spelling, and syntax.
  • Support special projects when required.
  • Maintain dependable and regular attendance.
  • Follow the company’s Code of Conduct and Mission & Value Statement.
  • Perform additional related duties as assigned.

Requirements

  • High school diploma or equivalent is required.
  • Working knowledge of health insurance plans, including deductibles, copays, coinsurance, and eligibility checks.
  • Ability to read, interpret, and clearly explain EOBs and patient financial responsibility.
  • Training in medical billing or a medical billing certification is preferred.
  • Experience with the Mod Med/EMA practice management system is an advantage.
