Role Summary
This is a full-time, on-site administrative role in Dubai. The position plays a key part in keeping day-to-day office functions running smoothly by handling scheduling, calendar coordination, meeting arrangements, and record management. The assistant will also manage incoming calls and emails, welcome visitors, and maintain clear, professional communication with clients, partners, and colleagues. In addition, the role includes preparing simple reports, handling documentation, supporting executive-level administrative work, and working with other teams to help operations stay efficient. Success in this role depends on strong attention to detail, excellent organization, and the ability to juggle several responsibilities in a busy mortgage services setting.
Key Duties
This role involves supporting office administration and internal coordination to ensure smooth workflow across the business.
- Arrange appointments, maintain calendars, and coordinate meetings.
- Keep files, records, and documentation accurate and well organized.
- Answer phone calls and respond to emails in a professional manner.
- Receive and assist visitors with a courteous, client-focused approach.
- Prepare basic reports and complete routine paperwork.
- Support executive administrative tasks as needed.
- Work with other departments to help operations move efficiently.
Qualifications and Competencies
The ideal candidate should bring strong administrative and clerical capabilities, along with the ability to communicate professionally and stay organized in a fast-paced setting.
- Strong administrative support skills, including scheduling, filing, data entry, and document preparation.
- Ability to assist with executive administration such as calendar management and meeting coordination.
- Excellent telephone etiquette and communication skills for both client-facing and internal interactions.
- Good organizational and time-management abilities with the capacity to prioritize work and meet deadlines.
- Working knowledge of office software such as MS Office or equivalent tools, plus basic business correspondence.
- Experience in financial services, banking, or mortgage brokerage is an added advantage.
- A diploma or bachelor’s degree in business administration, finance, or a related discipline is preferred.
