Role overview
This contract administrative assistant position supports the Imaging Administration team in an in-office setting in San Luis Obispo, California. The role centers on day-to-day clerical coordination, workflow support, record management, and assistance with departmental projects. The schedule is Monday through Friday, 8:00 am to 4:30 pm, on a 5 x 8 day shift.
The organization is based within a 162-bed acute care facility serving the Central California Coast. The surrounding area offers a coastal lifestyle, close access to beaches, natural hot springs, a lively downtown, and a comfortable climate.
Core duties
The position involves a wide mix of administrative and receptionist support tasks. It also includes helping direct workflow, maintaining professional communication, and assisting with research and special projects as needed.
Administrative responsibilities
- Handle front-desk and general receptionist duties.
- Keep departmental records, reports, and statistics organized and current.
- Manage patient medical records and related administrative documentation.
- Track supplies, equipment inventories, department expenses, and other budget-related information.
- Maintain personnel files and other office records.
- Draft departmental memos, agendas, meeting minutes, and reports, then copy, distribute, and file them as required.
- Assist with chart preparation.
- Support departmental performance improvement and quality assurance activities.
- Enter, maintain, and update departmental databases.
- Carry out additional job-related tasks when assigned.
Qualifications and experience
The preferred background includes a high school diploma or GED, or an equivalent credential. An associate degree or technical degree is also preferred, although a comparable mix of education and related experience may be considered.
Candidates should have at least 2 years of clerical experience. Experience with subpoena processing in a medical setting is preferred.
Work expectations
The organization expects a consistently professional manner in both written and verbal communication, as well as a neat and professional presentation. Employment is also subject to required vaccinations, with medical and religious exemptions potentially applicable.
Location and schedule
This is an on-site role in San Luis Obispo, CA, with a weekday daytime schedule of 5 x 8-hour shifts from Monday to Friday, 8:00 am to 4:30 pm.
Organizational requirements
The facility requires associates to receive all mandatory vaccinations as a condition of employment and to continue doing so annually where applicable. Medical and religious exemptions may be available.
