Overview
A professional services firm in Coquitlam, British Columbia is seeking an Administrative Assistant to join a busy, high-performing team. This position suits someone who is organized, detail-focused, proactive, and comfortable supporting multiple people while balancing changing office priorities and a variety of administrative tasks. The role is fully on-site in Coquitlam, BC.
Key Responsibilities
- Deliver day-to-day administrative assistance to different teams and stakeholders.
- Cover reception duties on a daily basis.
- Assemble and prepare files, including tax returns, trust returns, and partnership returns.
- Create client invoices.
- Coordinate calendars and arrange appointments.
- Prepare client deliverables.
- Keep records, databases, and information systems accurate, current, and well organized.
Required Background
- At least 2 years of administrative support experience, preferably in a professional services setting; prior exposure to public practice accounting is considered an advantage.
- A completed post-secondary degree.
- Familiarity with CRM tools such as iFirm, and with CaseWare and SharePoint, is beneficial; a willingness to learn new systems is important.
- Comfort stepping in to help with duties beyond the core job scope.
- Ability to develop and maintain effective working relationships across the organization.
- A strong sense of urgency paired with excellent attention to detail.
- Proficiency with Microsoft Office Suite and Google Drive applications.
- Experience handling tax return filing is an added asset.
