Role overview
An established Singapore-based organization with an international footprint is hiring for a managerial position centered on broad office administration. This role is responsible for keeping the workplace running smoothly, safely, and efficiently while supporting both day-to-day business needs and employee experience.
Core responsibilities
You will report to the administration leadership team and take charge of the Singapore administration function. The remit covers office operations, facilities coordination, workplace safety, procurement, and administrative governance.
- Manage the relationship with landlords and outside service partners to meet requirements related to facilities, safety, and security.
- Oversee office upkeep, cleanliness, shared spaces, employee amenities, and general workplace operations.
- Arrange logistical support for corporate events, board meetings, town halls, training sessions, and executive visits.
- Plan and optimize office space usage, including layout improvements and workplace functionality.
- Handle office reconfiguration projects, furniture purchases and installation, maintenance activity, and renovation work.
- Track project schedules, budgets, approvals, and communications with stakeholders for workplace projects.
- Lead procurement for office supplies, equipment, and services while balancing vendor quality, cost control, and service standards.
- Guide and support the administration team to build a collaborative, accountable, and high-performing working culture.
- Partner with senior leaders, business teams, and vendors to resolve operational needs and maintain service quality.
- Review and improve administrative policies, procedures, and controls to raise efficiency, compliance, and alignment with business goals.
Requirements
The preferred candidate will have a bachelor’s degree in Business Administration, Management, or a closely related field, along with solid experience in office administration, facilities management, or workplace operations. At least 3 years of supervisory experience is required.
- Hands-on background in office renovations, space planning, procurement, vendor coordination, and event logistics.
- Good understanding of local regulations and facilities management standards, including relevant authority guidelines.
- Strong working knowledge of workplace safety, security, and compliance practices.
- Proven ability to manage external vendors and service providers effectively.
- Confident stakeholder management, communication, and project management skills.
- Highly organized, proactive, and comfortable handling multiple priorities in a fast-moving environment.
- Continuous improvement mindset with the ability to strengthen processes and controls.
